Submit a Maintenance Request

If you have a maintenance concern with your home, please let us know immediately. All routine maintenance requests must be submitted in writing. You may submit your request through your online Tenant Portal or email your Property Manager. When submitting a maintenance request, please provide the following information:

  • Your name
  • Property Address
  • Contact Phone Number
  • A detailed description of the problem and location of the issue in the home.
  • Whether we may access the property by key from our office
  • Advise of any security system or pets. (Scarlett Properties will not be responsible for any fines or fees caused by false alarm.)

Step 1 – Application Process:

  • The application fee is $45.00 per adult applicant 18 years of age and older. Each applicant will be held financially responsible and therefore, must be listed as a leaseholder and complete the application process. The application fee is due at time of application submission and can be paid online or by certified check or money order made payable to Scarlett Properties mailed to 3426 Toringdon Way Suite 104-A Charlotte, NC 28277. Please confirm with the management company to make sure that the property you are applying for is still available before submitting your application. The application fee is non-refundable once submitted.
  • Once the application has been submitted please make sure to attach a copy of 1 month of your current paystubs, offer letter from your employer, or most current tax return and a copy of your state issued driver’s license with picture or passport with picture. If these are not submitted we will not be able to process your application. Please contact us to email directly.

Rental Qualifications:

  • Total household monthly income must be 3 times the amount of one month’s rent.
  • Revolving debt plus monthly rent cannot exceed 50% of the monthly income.
  • Landlord verification will be required for rental history. No more than 6 late/NSF payments in the last 2 years will be held against your application. Applicants owing an outstanding obligation without verifiable justification, such as housing debt to another management company or apartment community, will be required to pay that debt or provide proof of payment before application will be considered. Management reserves the right to deny Applicant’s application if after making a good faith effort to contact the landlord is unable to verify rental history.*
  • A credit report will be run.  If you have the follow on your credit report management reserves the right to deny the application:
  1. More than $1,000.00  of unpaid collections in the last 2 years*
  2. More than 6 of late payments in the last 2 years for credit cards or other loans (excluding student loans and medical bills/collections)*
  • A background check will be run. An applicant with a felony or misdemeanor conviction or who has received deferred adjudication for crimes involving the actual or potential threat of physical harm to a person, firearms, illegal drugs, theft, destruction of property, or any crime involving a minor or that is sexual in nature, will not be accepted.
  • A Co-Signer meeting all requirements as Leaseholder is required to make an income of no less than 5 times the monthly rent. Co-Signers will only be permitted if any of the follow occur:
  1. Insufficient or no verifiable income
  2. Insufficient or no rental history
  • Scarlett Properties Pet Policy – If the owner approves for a pet, there is a non-refundable pet fee of $250 per pet. (Pet types, breeds and sizes may be declined due to HOA rules and regulations which are out of the owners and Scarlett Properties control).
  • Providing any false, misleading or incorrect information on the rental application will be sufficient grounds for rejecting the application and forfeiture of Application fee. Discovery of falsification of application after move-in will be sufficient grounds for immediate termination of the Lease contract. All information provided by the prospective resident may be reviewed with appropriate state and local government authorities and or consumer credit reporting agencies as permitted by law.
  • Non-discrimination on the basis of race, color, religion, sex, handicap, familial status or national origin is the comprehensive policy of this company.
  • Management shall comply with and enforce any applicable governmental limitations on the number of persons who may reside in a unit or any portion thereof, imposed by statute, code, ordinance or regulation. Management will allow no more than two heartbeats per bedroom.
  • Water furniture is accepted on the first floor only, with proof of insurance, deposits and written management approval. We encourage all residents to purchase renter’s insurance to protect resident and personal belongings.

Step 2 – Application approval

Once your application has been approved we will notify you by phone call or email. The following steps will need to be taken in order to take the property off of the rental market and held until your move in date. (Please note that our management policy is that we only hold properties for a maximum of 30 days from the date of application once we receive the signed lease by all parties and the security deposit.)

  1. Security deposit equal to one month’s rent in certified funds or money order made payable to Scarlett Properties. This can be mailed to our office at 3426 Toringdon Way Suite 104-A Charlotte, NC 28277. Please do not include the rent or pet fee in this payment.
  2. Sign the lease agreement and all necessary rental addendums.
  3. If your move in date is on the 1st of the month or before the 15th of the month then your full month’s rent or prorate rent will be due on or before that date. If your move in date is after the 15th of the month then your 1st full month’s rent along with the prorated rent will be due on or before your move in date. Your first rent payment and pet fee will also need to be in certified funds or money orders made payable to Scarlett Properties.  You may include rent and pet fee in the same payment.

All applicants understand that upon application approval they are required to obtain and maintain liability insurance protection for Owner with coverage in the amount of two hundred and fifty thousand dollars ($250,000.00) for damages to Owner’s and third party’s property with provisions covering at least perils of fire, explosion, sewer backup, smoke and accidental water discharge.

If we receive your complete application and fee during business hours between 9am and 5pm, we will contact you before the end of the business day of your application status. If we receive your complete application and fee after business hours or on weekends or holidays we will contact you the next business day.
